Payment

Full payment is due within 30 days of written confirmation of sponsorship. Sponsorship is confirmed once this form has been submitted and accepted by Invox. All prices are listed excluding GST unless otherwise stated. No refunds will be issued if the sponsor cancels after confirmation.

Exhibit space

Invox will provide the sponsor with a designated exhibit space for the relevant event. Sponsors are responsible for staffing their exhibit space and for supplying, setting up and removing their own display materials, equipment and promotional items.

Power, furniture and venue requirements

Power and furniture requirements must be advised in advance. Invox will make reasonable efforts to support requested setup requirements, subject to venue availability, timing and venue rules. Additional venue charges may apply where requirements fall outside the standard sponsorship inclusions.

Liability

The sponsor agrees to indemnify and hold harmless Invox, the event venue and their representatives from any claims, losses, damages, costs or liabilities arising from the sponsor's exhibit, materials, staff, contractors, conduct or participation in the event.

Media policy

Invox may photograph, film or otherwise record the event, including sponsor displays and sponsor representatives, for promotional, editorial and archival purposes. Attendees may also take photos or videos at the event unless otherwise directed by Invox or the venue.

Promotional material

Any sponsor material to be distributed, displayed or shared by Invox, including email inclusions, event handbook content, website listings, app content or other promotional assets, must be supplied by the required deadline and is subject to Invox approval.

Cancellation or rescheduling

If the sponsor cancels after confirmation, no refund will be provided. If the event is postponed or rescheduled, the sponsorship will transfer to the new event date wherever reasonably possible.

Force majeure

Invox will not be liable for cancellations, postponements, changes, loss or damage caused by events beyond its reasonable control, including natural disasters, venue disruption, public health restrictions, government action, industrial action, technical failure or other circumstances outside Invox's control.

Sponsor responsibilities

Sponsors are expected to comply with all venue policies, event requirements, safety directions, bump-in and bump-out times, and relevant laws or regulations. Sponsors must ensure their exhibit, equipment, representatives and promotional activity are safe, appropriate and consistent with the professional nature of the event.
